Best lien waiver software for general contractors: how to choose

Quick answer

Pick by where your payments run. If subs are paid through a construction payments product, use the waivers built into it — Procore Pay (powered by Levelset) or Built. If you pay from your accounting system and need waivers, COIs and W-9s chased from every sub, a standalone compliance hub like SubLien fits better. Whatever you pick, check the six things below in the demo.

The three kinds of lien waiver software

“Lien waiver software” covers products built for different jobs. Knowing which kind you’re looking at saves most of the evaluation.

1. Bundled with payments

The waiver is exchanged as part of paying the sub. In Procore Pay, lien waivers are powered by Levelset, a Procore company. Built offers lien waiver management alongside its construction payments and lending products. These fit best when your payments already run through them.

2. A module in your accounting or ERP system

Many construction accounting systems can generate a waiver from a payment. Useful when the form is all you need; weaker at chasing the sub, collecting signatures and keeping the rest of the sub’s paperwork in view.

3. A standalone compliance hub

Collects documents from subs whatever system pays them. SubLien is this kind: lien waivers, the ACORD 25 certificate of insurance, the W-9 and other vendor documents on one record per sub, with optional Procore and QuickBooks Online connections.

Six things to check in any demo

  1. State forms. 11 states prescribe the waiver form. Ask which form the tool uses for your project’s state and where its source is recorded. See the state-by-state reference.
  2. Your own forms. Can you upload the waiver your company or lender already uses, and have project data fill it?
  3. Conditional vs. unconditional. Does the tool keep the before-payment and after-payment waivers separate, and avoid marking a conditional waiver as paid? (Why it matters.)
  4. The sub’s side. Does the sub need an account? Every login you add is a waiver that comes back late.
  5. Evidence. What comes with the signed PDF — signer, email verification, timestamp, a way to check the record later?
  6. The rest of the file. Is the sub’s COI and W-9 visible next to the waiver when you release payment?

Where SubLien fits — and where it doesn't

  • Fits: GCs of any size collecting waivers, COIs and W-9s from subs, standalone or with Procore or QuickBooks Online.
  • Fits: teams that want published pricing — every feature on every plan, priced by vendor capacity.
  • Doesn't fit: subcontractors protecting their own lien rights. SubLien doesn't send notices or file liens.
  • Doesn't fit: teams that want the waiver inside a payment run. SubLien never moves money.

Common questions

What should lien waiver software do for a general contractor?
Prepare the right waiver for each payment, get it signed by the subcontractor, chase it until it comes back, and keep the signed copy where the person releasing payment will see it. Conditional waivers go out before payment and unconditional waivers after, so the software has to keep those stages separate.
Do I need lien waiver software if I already use Procore or QuickBooks?
Not necessarily. If your payments already run through a payments product that exchanges waivers, that may cover it. If you pay from your accounting system, a standalone tool can draft waivers from the pay apps or bills you already enter. SubLien connects to Procore or QuickBooks Online, or runs on email alone.
Which states require a specific lien waiver form?
11 states prescribe the lien waiver form by statute, and several more set rules the waiver must follow. The state-by-state reference lists each one with its citation.
